Automating racing session setup across an entire venue

A repetitive, machine-by-machine setup routine is now one centralized workflow. Venue managers prepare and launch competitions in a few clicks instead of a few dozen.

The challenge

Starting a racing session took a lot more than picking a game.

Employees had to find the right rig, open the game, dig through its menus, pick a track and vehicle, set up the session rules — then do the whole thing again on the next machine.

That routine caused a handful of real problems:

session prep took too long
the same settings had to be re-entered again and again
every game had its own interface and its own quirks
employees needed game-specific technical knowledge just to run the floor
a mistake anywhere could delay a session or throw off a competition
managers had less time left over to actually greet and help customers
busy periods put real strain on staff

The automation opportunity

This wasn’t a problem you could fix by making one screen faster. It needed real coordination between the venue’s central management software and the individual rigs themselves.

A lot of racing sessions follow predictable formats — same track, same vehicle category, same lap count and session length, over and over. Employees were rebuilding that configuration from scratch every single time.

Those recurring formats could become presets instead, launched from one place. The goal wasn’t shaving a few seconds off one step. It was cutting out the unnecessary steps altogether.

The solution

We built a workflow where a manager configures a competition once, then reuses it as many times as they want.

Each preset holds everything needed to prepare a session. Pick one, and the central platform sends instructions to custom launcher software installed on the rigs — the launcher opens the right game and applies the configuration on its own. A connected kiosk adds a simpler interface for the tasks staff run most often.

A long chain of manual, machine-specific steps collapses into one action.

The project combined cloud software with custom software running locally on the racing rigs themselves.

Architecture note
The SaaS platform handles users, presets, session data, and results; launcher software on each rig handles the machine-level work. That split let us automate the entire workflow without asking the racing games themselves to double as venue-management software.

The numbers tell it plainly. Setting up a session used to take 2–3 minutes per rig, every single time. Now a preset takes 2–3 minutes to create — once — and after that, launching takes 20–30 seconds per rig, or about a minute to start the whole set at once for a group session. Employees handle more participants during busy stretches, and new hires need far less game-specific training to get going.

The venue also ends up with a repeatable operational process — one that’s easier to scale to more rigs, more events, and more locations down the line.
